Service: 1 scanner

For a business with one location and no offsite corporate office, we recommend you purchase a total of two scanners, one scanner for the accounting office and one scanner for your service office. The scanner in the accounting office will tackle all of the paper funneled through the accounting office: Accounts Payable, Car Deals, HR, etc. The scanner in the service office will take care of your Service Repair Orders, Parts Tickets, Warranty, etc.

In the accounting office, the scanner will sit on one person’s desk and for efficiency, designate this person to scan all of your files. In the service office, place the scanner on your cashier’s desk and this person will scan all of the service documents.

 

Centralized Accounting Office with 2 – 3 Locations

Accounting: 1 scanner

Service: 1 scanner per location

If you already have a centralized accounting office setup for your business, depending on your volume of paper, you most likely will need one scanner in the accounting office and one scanner for your service office at each location. The scanner in accounting will sit on one person’s desk and for efficiency, designate this person to scan all of your files: Accounts Payable, Car Deals, etc. In the service office, place the scanner on your cashier’s desk and this person will scan all of the service documents for that location.

What Scanner Model Should You Buy?

The Fujitsu fi-scanners we recommend will scan 120 pages per minute, double-sided. This means that all of your scans will be completed in under a minute – that’s fast! At only the size of a shoebox, you could manage to put a scanner on the desk of every one of your employees and not feel like they were taking over your office. There’s no need to take out a desk or carve out somewhere in your office to house a large all-in-one central copier/scanner.

If you are a smaller dealership, selling around 20 cars per month, we recommend a low volume scanner such as the Canon DR-225c. This scanner is comparable in reliability and size as the Fujitsu models. You will pay half of the cost of a Fujitsu scanner while still enjoying compatibility with Scan123 service.

Before you start looking, ask yourself if you would prefer a new or used scanner. A new scanner will come with a Limited Warranty to protect your purchase for one year. Often, a used scanner can be purchased for a fraction of the price of a new scanner. Be cautious with all used scanner purchases, as they often do not come with a warranty and may need maintenance such as consumables replacement or other parts replacements.
