Here’s what it looks like when you apply document management to an automobile dealership:

Automotive service contracts are a great place to start scanning. We recommend that they be scanned even before the deal is posted into accounting. In the first few weeks after a deal is done, multiple people and departments will need access that contract. F&I may access the contract to answer questions from the customer. Service and parts may need to access the contract to help in claims processing. And accounting will need access to pay the service contract company, to answer questions from lenders, and to process cancellations.

Because of the large number of people and departments who need access, paper contracts floating around are frequently lost or misfiled! When you really need access, they can’t be found. Of all the documents generated in a dealership, these are the documents most likely to be accessed three, four, or five years later. If you Scan them immediately, everyone that needs to can have access to reference the deal and contracts at the same time, and the documents will never be lost.
